As part of our ongoing growth, we are looking to appoint a Work Coordinator to join our Melbourne team, based at our Keysborough office.

Job Description

The Role: 

  • Scheduling & Coordination – Work closely with Project Team Leaders, field Technicians and Subcontractors to develop job schedules, track progress, and ensure efficient resource allocation
  • Documentation Management
    Prepare and maintain essential pre-start documents, including SWMS, permits, assist with inductions, ensuring full compliance with safety and regulatory standards.
  • Work Orders & Procurement
    Issue purchase orders, and manage work orders for suppliers and subcontractors with a focus on accuracy, timeliness, and cost control.
  • Resource Coordination
    Oversee the allocation of labour and materials to maximise productivity and minimise delays or overspending.
  • Progress Monitoring & Reporting
    Track key work order milestones, delivering regular and insightful updates to internal and external stakeholders.
  • Process Improvement
    Proactively identify areas for improvement, support lessons learned, and contribute to ongoing process optimisation
  • Client Liaison & Support 

Serve as the primary point of contact for client enquiries, addressing concerns promptly and professionally to ensure satisfaction.

Selection Criteria

To be successful in this role, you will ideally demonstrate the following:

  • Proven experience in a customer service-focused position
  • Fire experience is preferred, but not essential
  • Exposure to the service industry is advantageous, but not essential
  • Confidence using technology and navigating complex internal systems, including Microsoft Word, Excel, and Outlook
  • A strong willingness to learn, paired with excellent verbal and written communication skills
  • Exceptional time management abilities and keen attention to detail
  • Ability to work independently while managing competing priorities effectively
  • A positive, proactive attitude with a strong commitment to delivering outstanding customer service
